What it does

1. Invoice Chase. Each unpaid invoice is one row in a Google Sheet. The workflow checks the sheet once an hour. It sends up to three reminders: on the due date (polite), 3 days after the due date (firm), and 7 days after the due date (final). It sends at most one reminder per invoice each time it runs, and it never sends the same reminder twice. It stops for an invoice when you mark it Paid or Paused, when your customer replies STOP (every reminder tells them they can), or when someone puts the word STOP in that row's Notes.

2. Database Reactivation. Your past customers, unsold estimates, and old leads go into a second sheet. The workflow sends a series of up to four emails, written in your voice, a few days apart. It only emails people you have marked Approved = Y, so you choose who gets them, in small batches. It runs once an hour, 9am to 5pm, Monday to Friday, in your time zone. When someone replies, they get no more emails from the series and you get an alert email so you can answer them yourself. If the reply says stop, unsubscribe, or remove, they are marked Unsubscribed for good. Nothing is sent after the fourth email.

How it's used, day to day

  • Invoice Chase: add each new invoice to the sheet. When a payment clears, mark it Paid. That's it. Reminders go out on their own, following the rules above.
  • Database Reactivation: when a reply alert comes in, you (or your office) answer the person directly. When someone books, mark them Booked and add the job value. To approve the next group, mark more rows Approved = Y.
  • Either part can be paused at any time by marking a row Paused or writing "stop" in its Notes.

What you provide

  • A Google account with Gmail and Google Sheets
  • Your own n8n account (the workflows run there, not on ours)
  • Your open invoices: invoice number, customer name, email, amount, and due date
  • A list of your own past customers and leads (a CSV export is fine). No bought lists.
  • Your business name, a real postal address (the law requires it on these emails), and the offer you want to make, if any
  • Approval of the email wording, in writing (an email reply is fine)
  • A decision on who handles replies
