Privacy Policy

How we collect, use, store and delete information across softcoastweb.com, the Soft Coast client portal, and the social accounts you connect to it.

Last updated: September 1, 2026

Who we are

Soft Coast LLC (“Soft Coast”, “we”, “us”) builds websites and runs social media marketing for service businesses. This policy covers our public website at softcoastweb.com and our client portal at portal.softcoastweb.com.

Questions about this policy or the data we hold: [email protected].

Information we collect

Information you give us directly

  • Enquiry and onboarding details — company name, contact name, email address, phone number, industry, the plan you are interested in, and any notes you write, submitted through our onboarding or contact forms.
  • Workflow inquiries — name, email, business name, optional phone, which n8n workflow you asked about, whether you want to self-host or have us host it, and your message, submitted through the workflows form. That form posts to our portal, which forwards it to our inbox workflow. The public pages do not contain the destination webhook URL.
  • Account details — the email address and password you use to sign in to the client portal. Passwords are hashed by our authentication provider; we never see or store them in readable form.
  • Business profile — your company name, industry, and subscription plan, held against your portal account.

Information from connected social accounts

If you connect a social platform (Facebook, Instagram, TikTok, X or LinkedIn), we receive an access token that authorises us to publish content on your behalf, along with the account and page identifiers needed to target posts. We request only the permissions required to publish and to read basic engagement figures.

We do not read your private messages, contacts or friend lists, and we do not download your existing content library.

Content you create in the portal

Post text, media URLs, scheduling times, target platforms and post status, stored in your content calendar.

Meeting Copilot audio

If you use the Meeting Copilot, audio from your microphone is streamed to our transcription provider while a session is running, and the resulting transcript is sent to an AI provider to generate live recommendations. Recording only occurs while you have explicitly started a session, and stops when you press Stop.

Payment information

Card details are collected and processed entirely by Stripe. They never reach our servers. We store only a Stripe customer reference and your subscription status.

How we use information

  • To provide the service: publishing scheduled content, maintaining your calendar, and running your account.
  • To respond to enquiries and set up new clients.
  • To take payment and manage subscriptions, including notifying you about failed payments.
  • To secure the service and investigate misuse.

We do not sell personal information, and we do not use your data or your connected-account data to train AI models.

Who we share information with

We use the following providers, each of which processes data on our behalf:

  • Supabase — database and authentication.
  • Hostinger — website and application hosting.
  • Stripe — payment processing and subscription billing.
  • Make.com — workflow automation for new enquiries and account events.
  • Google — email delivery and the internal documents and spreadsheets where we track enquiries and client setup.
  • Meta, TikTok, X and LinkedIn — the platforms you choose to connect, to publish your content.
  • Deepgram — speech-to-text for the Meeting Copilot.
  • Anthropic — AI recommendations generated from Meeting Copilot transcripts.

We may also disclose information where we are legally required to do so.

Platform data

Data obtained through a connected platform's API is used solely to deliver the service you asked for — publishing your content and reporting on it. It is not sold, not shared with advertisers or data brokers, and not used for any purpose beyond operating your account. It is deleted when you disconnect the platform or close your account, as described below.

How we store and protect information

Access tokens for connected accounts are encrypted before they are written to our database. Client records are isolated at the database level so one client's data cannot be read by another. Access to production systems is limited to Soft Coast personnel who need it.

No system is perfectly secure, and we cannot guarantee absolute security — but we will notify affected clients without undue delay if a breach affecting personal information occurs.

Retention and deletion

We keep account and content data for as long as your account is active. When an account is closed we delete or anonymise it within 90 days, except where we must retain records for legal, tax or accounting purposes.

To disconnect a platform: open Settings → Connections in the portal and choose Disconnect. The stored access token for that platform is removed immediately.

To request deletion of your data: email [email protected] from the address on your account with the subject “Data deletion request”. We will confirm within 5 business days and complete the deletion within 30 days.

Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, correct it, request its deletion, or object to certain processing. Contact us at the address above and we will respond within the period required by applicable law.

Children

Our services are intended for businesses. We do not knowingly collect personal information from anyone under 18.

Changes to this policy

If we make material changes we will update the date at the top of this page and, for changes that meaningfully affect how we handle your information, notify account holders by email.
